Here's the scoop - Summary

The Credit Associate - Administration plays a key role in Customer Account Administration, with primary responsibility to carry out daily bank reconciliation to customer remittances, application of incoming payments, issuance and tracking of trade credits for various programs such as Co-Op, promotions, rebates, etc. and maintaining electronic files with all relevant records. This position supports the growth of the company by providing a high degree of customer service to both internal and external stakeholders regarding account information and support. The Credit Associate-Administration works out of our Edmonton corporate office, and reports to the Credit Manager.

What a typical day looks like

  • Administer the incoming payment process including the daily extraction of Bank Statements, reconciliation to remittances, application of payments and electronic filing of all corresponding documentation.
  • Administer Trade Credits, preparing accurate and timely transactions based on authorized submissions.
  • Follow up on late or missing submissions and approvals including investigation of discrepancies or variances to procedures, to ensure credits are issued within prescribed timelines.
  • Maintain current dated tracking system, balancing transactions to submissions.
  • Assist with period-end closing, ensuring completeness within close timelines.
  • Maintain a continuous process improvement focus, strategizing how to scale the various functions assigned to the role and fully utilize available technology.
  • Participate in projects as a knowledge expert, and act as an internal point of contact for the payment application and trade credit processes.
  • Recommend solutions to problems identified in research and participate in development of resolutions.
  • Complete or contribute to Standard Operating Procedures (SOPs) where required and assist with developing sustainable company procedures.
  • Follow all documented control and compliance requirements and realign any identified issues or escalate as needed to Management.
  • Ad hoc projects and duties assigned by Credit Manager.
  • Ensure the strict confidentiality of financial records as they relate to the organization and its business partners.

What you'll bring

  • Post-secondary diploma in Accounting or Finance preferred and 1-3 years' directly related work experience in an Accounts Receivable/Payable accounting capacity; or an equivalent combination of education and relevant work experience.
  • Demonstrated ability to accurately calculate, post, correct, and manage accounting figures and financial records, expertise in account reconciliations.
  • Full cycle Accounts Receivable experience an asset.
  • Must possess a high level of moral judgment for handling confidential information and monetary transactions.
  • Solid knowledge of accounting systems and internal controls; high proficiency with Microsoft Office products and knowledge of M3 is an asset.
  • Strong work ethic and positive team attitude and team building skills.
  • Sound analytical thinking, planning, prioritization, and execution skills, able to work in a fast-paced environment.
  • Able to effectively communicate both verbally and in writing.
  • Able to build and maintain lasting relationships with other departments, key business partners.
  • Strong problem identification and resolution skills.
  • Some extended hours of work may be required.
