Westland Insurance Group Ltd has an exciting opportunity for a Project Administrator, EPMO to join our growing team in Surrey, BC at our Head Office, working in a hybrid work model.

Expected Compensation: The expected hiring range for this role is $51,000 to $64,000 based on a 35-hour work week. Actual offered salary will depend on the successful candidate's qualifications and experience, as well as market conditions for the role, and internal equity.

As a seasoned Project Administrator, you'll play a key role in driving organization and accountability within Westland's project portfolio. You'll manage documentation, support project budget tracking, and ensure project updates are current and accurate across tools likeSmartsheet and SharePoint. You'll collaborate closely with project managers, leadership, and cross-functional teams to help drive visibility and success for critical initiatives.

Why we'll love You:
  • You have 5+ years of experience in administrative/project coordination roles, ideally within a PMO or EPMO environment
  • You've earned a bachelor's degree in business, Project Management, or a related field (or equivalent experience)
  • You are highly proficient in Smartsheet, SharePoint, and Microsoft Office (especially Excel and PowerPoint)
  • You bring experience in budget tracking, invoice processing, and project reporting
  • Your organizational skills, attention to detail, and time management are second to none
  • You're a proactive problem-solver who thrives in a fast-paced environment
  • You're an excellent communicator - both written and verbal
  • You have a strong aptitude for learning new tools and systems

Once here, you'll:

  • Provide administrative support to the EPMO including gate reviews, time tracking, and portfolio reporting
  • Maintain and organize project documentation, templates, governance materials, and SOPs
  • Prepare reports and dashboards for executive-level presentations
  • Track project finances, update capital budgets, and support monthly reporting
  • Manage project portfolio tracking in Smartsheet and organize content in SharePoint
  • Create standard project repositories and ensure alignment with governance frameworks
  • Coordinate templates and follow-ups across project teams
  • Facilitate effective communication and collaboration across teams and stakeholders
