Department Summary

Through human resource management expertise, the Maximus Canada Human Resources (HR) team guides leadership and employees across the organization, manages various programs and initiatives, and supports the business's strategic objectives and operational goals. The HR team's daily functions include the full recruitment cycle, employer-employee relations, compensation, and benefits.

Role Summary

The Human Resources Coordinator supports hiring managers in attracting and creating a positive candidate experience and onboarding experience for new hires. This position prepares offer letters and coordinates internal employee churn within the organization. The Human Resources Coordinator may also assist in executing various Human Resources projects and initiatives to further support the Human Resources team.

Job Requirements

• Proficient in using MS Word, Excel, PowerPoint, and SharePoint

• Detail-oriented and accurate in execution, able to work well under pressure and with minimal supervision.

• Knowledge of HR best practices and regulations, including the Labour Relations/Employment Standards Acts and Human Rights Legislation.

• Results-oriented professional with strong time-management, analytical, organizational and problem-solving skills.

• Ability to maintain confidentiality and exercise good judgment.

• Successfully managing multiple projects and competing priorities, allocating time effectively to meet deadlines.

• Strong interpersonal skills and the ability to develop and sustain cooperative working relationships.

• Knowledge of HR and payroll systems.

• Demonstrated professionalism.

Job Responsibilities

  • Manages, facilitates and plans the full cycle recruitment and onboarding processes and activities.
  • Supports hiring managers ensuring they understand the recruitment and onboarding process
  • Supports staffing initiatives in reviewing job postings/advertisements and preparing offer letters and employment agreements.
  • Ensures seamless communication with payroll regarding position changes, salary adjustments, status changes, etc.
  • Works with other department representatives when onboarding new or transferred employees.
  • Assists with the development and administration of Orientation and Onboarding materials. Continually seeks opportunities to optimize and upgrade the onboarding process.
  • Works with the Learning and Development team to update onboarding materials as needed
  • Ensures human resources records are accurate, confidential and reported on time in the HRIS system and filed appropriately.
  • Research best practices and HR trends regarding recruitment and onboarding, and provide recommendations.
  • Provides other HR Administration support as required, including monitoring the HR Service Desk ticketing system.
  • Provides project support to the HR Team.
  • Supports the design, implementation and ongoing delivery of Human Resource programs and initiatives.
  • Performs other duties as assigned.

Education and Experience

  • Completion of a Human Resources Management Degree/Diploma, or other related degree/diploma with 1-3 years of related experience.

  • Completion of a Human Resources Management degree/diploma or other related education
  • • 1-2 years of experience working in the Human Resources field, with a preference to applicants with recruitment and onboarding experience
  • • 1-2 years of experience working in a unionized environment
  • • HR Designation, such as CPHR, is an asset
