Saskatchewan Distance Learning Centre requires a permanent, full-time Executive Assistant. The position will be located in our Saskatoon Elementary Campus and commence on August 6th, 2025, or a mutually agreed upon date.
Sask DLC is a Treasury Board Crown Corporation, created to deliver high-quality and equitable online learning programs to students across the province. Sask DLC's head office is located in Kenaston, with an administrative office in Regina, and regional campuses located in Estevan, Kenaston, La Ronge, Moose Jaw, Neilburg, Nipawin, Prince Albert, Regina, Saskatoon, Swift Current and Yorkton.
Executive Assistant Responsibilities
Reporting to the Superintendent of Student Programming and Superintendent of School Operations, the Executive Assistant will be responsible for providing senior-level administrative, organizational, and logistical support to the Superintendent of Operations, Superintendent of Student Programming, Elementary Campus (registrations) and the Director of Human Resources.
Focused on delivering the highest level of customer service, this position requires excellent communication and interpersonal skills, considerable experience in office administration, and the ability to work independently with respect to carrying out the duties assigned in a challenging and fast paced environment.
Primary Responsibilities
Scheduling and logistics of Superintendent's activities; plans and schedules calendar events and compiles current and complete information in advance to ensure senior administration effective use of time; responsible for planning, scheduling and coordinating travel and logistics for meetings, training sessions, and other events.
Superintendent purchasing and invoice payments; verifying, coding, processing and tracking invoices for approval and payment ensuring policy compliance.
Coordinates and proactively plans meetings and prepares related materials for Senior Administration group.
Review, prioritize, direct and coordinate requests and follow up as necessary, while ensuring confidentiality, consistency, and accuracy.
Proactively manages and follows up on correspondence (emails, voicemail, phone), inquiries and issues directed to the senior administration, ensuring that protocols are followed in dealing appropriately, effectively and diplomatically with public, staff and parent requests in a timely way.
Assisting human resources with employee contracts, data entry, collection of onboarding documents, electronic and paper file management, and printing of staff identifications.
Providing accurate registration information to Elementary Campus Principal.
Other duties as assigned by the Superintendents or assigned designate.
Knowledge, Skills, Abilities
Thorough working knowledge of office management practices, procedures and processes.
Excellent working knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
Ability to anticipate key events, activities and deadlines and prepare/organize reference materials, correspondence, files, briefing notes and meetings as required.
Ability to communicate effectively, both verbally and in writing, with employees, other organizations and the public and present a positive image of Sask DLC.
Ability to independently initiate and organize methods for office efficiencies.
Ability to establish effective working relationships at all levels in the organization.
Ability to organize, prioritize, and proficiently complete multiple tasks while dealing with frequent interruptions and tight deadlines.
An energetic team player whom tactfully and respectfully supports colleagues to promote a positive work environment.
Experience in a public or post-secondary education work environments would be considered an asset.
Education and Qualifications
Typically, the knowledge and skills required for this position would be obtained through the successful completion of an Administrative Certificate or Diploma in Business Administration in combination with work experience, or an equivalent combination of training and experience.
Advanced computer skills and experience using a variety of computer software applications such as Microsoft Office Suite (Word, Excel, PowerPoint, Viseo and Outlook) to accurately create, format, proofread and edit clear and presentable documents such as tables, forms, presentations, and briefing notes.
A minimum of five (5) years experience providing administrative support at the executive level in a large and fast paced public education or business environment.
Employment Conditions
Office environment/setting.
Typical core office hours (8:00 a.m. to 5:00 p.m.) Monday to Friday.
Travel as required.
